Definition

An Inventory Sheet is the itemized list of every piece of furniture, box, and object the moving company is transporting, with a condition note next to each item recording any pre-existing wear or damage at pickup.

In practice

What it means on a move.

On moving day, the crew walks through your home with you and lists every item: furniture, boxes (one count per box, not contents), appliances, mirrors, framed art, lamps, electronics, oversized items. Each item gets a number that's affixed to the item with a sticker and recorded on the sheet. Next to each, the crew notes pre-existing condition using standardized symbols (scratch, dent, broken, soiled, etc.). At delivery, the inventory is checked off as items are unloaded, and any new damage gets noted as an exception. The signed inventory becomes part of the Bill of Lading.

Why this matters.

The inventory sheet is the contemporaneous record of what got loaded and what condition it was in. Without it, claims become nearly impossible — the mover can say an item never made it on the truck, or that the damage was pre-existing. With it, every item has a number, a starting condition, and a delivery condition. The 30 minutes the crew spends on inventory at pickup is the cheapest insurance you'll buy.

What's recorded on the inventory sheet?
Every item (or box) being moved, with a unique number, a brief description, and standardized condition codes for any pre-existing wear or damage. High-value items typically get a separate High-Value Articles inventory with more detail.
Do I need to be present during inventory?
Yes — strongly recommended. You sign off on the condition notes, and your eye on the walk-through prevents misunderstandings later. If you can't be there, designate someone you trust.
What if I disagree with a condition note?
Tell the crew before signing. The note can be revised on the spot. After signing, the condition note becomes the official baseline for any future claim.
