Definition

A Written Estimate is a documented price quote provided by a moving company before the move — listing scope of work, rate structure, accessorial charges, and any specialty services — that becomes the reference point for the final bill.

What it means on a move.

A written estimate is delivered by email or printed document after the move planner has reviewed the inventory — through an in-home walk-through, a virtual photo/video walk-through, or a detailed phone intake. It lists the hourly rate (or weight-plus-distance rate), the 2-hour minimum, the proration policy, scope of services (loading, unloading, packing, crating, hoisting, stairs, long carries, storage), the truck and crew size, the move date, and any flat-fee charges. The estimate may be binding (locked price) or non-binding (approximation, billed for actual time or weight). Either way, having the document in hand before move day is what makes pricing predictable.

A written estimate is the single most important consumer-protection step before any move. Verbal quotes leave no record of what was promised, what was scoped, or what rate was agreed. Without a written estimate, surprise charges on move day become a dispute the customer almost always loses. A reputable mover always issues a written estimate before scheduling the truck — and any mover unwilling to put pricing in writing should be considered carefully. The written estimate also feeds directly into the Bill of Lading on move day; the two documents should match in scope and pricing.

Do I have to pay for a written estimate?
No — written estimates from reputable movers are free. We provide a written estimate before every move with no obligation to book. If a mover asks for payment to issue an estimate, that is a red flag.
How is a written estimate different from a Bill of Lading?
The written estimate is delivered before move day and locks in scope and pricing. The Bill of Lading is signed on move day, becomes the legal contract for the actual move, and should reflect the same scope and pricing the estimate set. Discrepancies should be resolved before signing.
What if conditions change between the estimate and move day?
We revise the written estimate in writing, with the new scope and any rate impact, before any new work is performed. Signed approval is required before the revised scope is executed. Verbal change orders are not acceptable.
